Applicable to All Customers
This Tour Booking, Cancellation, Postponement & Refund Policy (“Policy”) forms an integral and binding part of the tour booking terms and conditions.
By making a reservation, paying any deposit, advance payment, balance payment, or otherwise confirming participation in a tour, the customer acknowledges that they have read, understood, accepted, and agreed to be legally bound by this Policy.
Once a booking has been confirmed and payment has been received, the tour operator may immediately make advance commitments for accommodation, transportation, permits, motorcycles, guides, staff, suppliers, and other tour-related services. Accordingly, cancellation charges apply strictly as set out below.
1. Cancellation 30 Days or More Before Departure
If a customer submits a written cancellation request 30 days or more before the scheduled tour departure date, the amount paid will be eligible for a refund after deduction of a 10% administrative and processing fee.
Accordingly, the maximum refund will be 90% of the amount actually received by the tour operator.
Any bank charges, payment gateway charges, foreign-exchange losses, transfer charges, or other non-recoverable transaction costs may also be deducted where applicable.
2. Cancellation 16–29 Days Before Departure
For cancellations received 16 to 29 days before the scheduled departure date, the customer will be entitled to a refund of 50% of the amount actually paid and received by the tour operator.
The remaining 50% will be retained as cancellation charges to cover administrative expenses, supplier commitments, advance payments, permits, accommodation, transportation, motorcycle arrangements, and other costs incurred in preparation for the tour.
3. Cancellation 15 Days or Less Before Departure
For cancellations received 15 days or less before the scheduled tour departure date, NO REFUND SHALL BE PROVIDED.
100% of the tour amount paid shall be forfeited.
This condition applies regardless of the reason for cancellation, including personal circumstances, change of plans, illness, travel delays, visa issues, flight cancellation, inability to obtain required travel documents, or any other reason attributable to the customer.
Customers are therefore strongly advised to obtain appropriate travel and cancellation insurance before making their booking.
4. No-Show
A customer who fails to report for the tour at the designated departure point and time without providing prior written notice will be classified as a NO-SHOW.
In the event of a NO-SHOW:
- No refund will be provided.
- 100% of the tour cost will be forfeited.
- The booking will be considered cancelled by the customer.
- No compensation, credit, transfer, or alternative tour arrangement will be guaranteed.
5. Early Departure, Withdrawal or Unused Services
Once the tour has commenced, no refund, compensation, credit, or reimbursement will be provided for any unused portion of the tour.
This includes, without limitation:
- Early departure or voluntary withdrawal
- Missed activities or sightseeing
- Unused hotel nights
- Unused meals
- Unused transportation
- Unused motorcycle rental days
- Failure to participate in scheduled activities
- Late arrival or departure
- Personal decision to discontinue the tour
- Any other unused tour service
The customer shall remain responsible for the full applicable tour cost notwithstanding any voluntary reduction or non-use of services.
6. Tour Postponement / Date Change
A customer may request to postpone the tour to new travel dates instead of cancelling, subject to the following conditions:
- The postponement request must be submitted in writing and approved by the tour operator before the original departure date.
- Postponement is not an automatic right and is subject to availability of accommodation, motorcycles, permits, guides, transportation, and other tour services.
- The new travel date must be agreed upon by the tour operator.
- Additional charges may apply due to changes in hotel rates, motorcycle rental rates, permits, transportation, seasonal pricing, supplier charges, government fees, or other increased operating costs.
- Any price difference resulting from the new travel date shall be payable by the customer before the postponed tour is confirmed.
- A postponement request does not cancel or suspend the original booking obligations until the new dates have been formally confirmed in writing by the tour operator.
- If the customer fails to travel on the newly confirmed postponed date, the booking will be subject to the applicable cancellation and NO-SHOW provisions, and no further postponement or refund will be guaranteed.
Postponement is subject to availability and is granted entirely at the discretion of the tour operator.
7. Customer Name Transfer / Replacement Participant
A customer may request to transfer their booking to another eligible participant, subject to prior written approval by the tour operator.
Any replacement participant must satisfy all applicable requirements, including passport, visa, permit, age, driving licence, motorcycle eligibility, insurance, health, and other tour requirements.
Any administrative, permit, accommodation, motorcycle, transportation, government, or supplier charges resulting from the replacement may be charged to the customer.
A name transfer is not guaranteed and shall not create any automatic right to a refund.
8. Force Majeure and Unforeseeable Events
The tour operator shall not be liable for any cancellation, postponement, delay, interruption, modification, route alteration, or failure to provide any tour service caused by circumstances beyond its reasonable control (“Force Majeure”).
Such circumstances may include, but are not limited to:
- Natural disasters
- Earthquakes
- Floods
- Landslides
- Severe weather
- Road closures or unsafe road conditions
- Government orders or restrictions
- Border closures
- Political unrest or civil disturbances
- Strikes or transportation disruptions
- Epidemics or pandemics
- Accidents
- Security threats
- Changes in government regulations
- Permit restrictions
- Acts of God
- War or terrorism
- Any other circumstances beyond the reasonable control of the tour operator
In such circumstances, the tour operator shall have the right to modify the itinerary, change the route, postpone the tour, substitute services, or cancel affected services where reasonably necessary for operational or safety reasons.
Where any refund or credit is possible, it shall be considered only after deduction of all non-refundable payments, supplier penalties, administrative costs, permits, accommodation charges, transportation costs, motorcycle costs, and other expenses already incurred or irrevocably committed.
The tour operator shall not be required to refund amounts that it has already paid or committed to third-party suppliers and cannot recover.
9. Cancellation or Termination by the Tour Operator
The tour operator reserves the right to cancel, postpone, modify, or terminate a tour where reasonably necessary due to operational, safety, governmental, regulatory, force majeure, or other circumstances beyond its reasonable control.
If the tour operator cancels a tour for reasons within its reasonable control, the customer will be informed of the applicable refund or alternative arrangement.
However, unless expressly agreed otherwise in writing, the tour operator shall not be liable for consequential, incidental, indirect, or additional expenses incurred by the customer, including:
- Airfare
- Visa fees
- Travel insurance
- Personal accommodation
- Additional transportation
- Airport transfers outside the package
- Lost wages
- Personal expenses
- Equipment purchases
- Other consequential losses
Customers are strongly advised to obtain comprehensive travel insurance covering trip cancellation, interruption, delays, medical emergencies, evacuation, and other travel-related risks.
10. Changes to Itinerary and Tour Services
The tour operator reserves the right to make reasonable changes to the itinerary, accommodation, route, transportation, motorcycle allocation, activities, or schedule where necessary due to weather, road conditions, safety concerns, government requirements, permits, operational circumstances, supplier availability, or other unforeseen conditions.
Such changes shall not automatically constitute grounds for cancellation or a refund where the tour operator provides a reasonably comparable alternative or continuation of the tour.
11. Refund Calculation
Where a refund is applicable under this Policy, the refund shall be calculated based on the actual amount received by the tour operator, after deduction of all applicable cancellation charges, administrative fees, bank/payment processing charges, non-refundable supplier payments, government fees, permits, and other non-recoverable costs.
Refunds will be processed through the original payment method where reasonably possible.
The tour operator shall not be responsible for delays caused by banks, payment processors, international transfers, or other third parties.
12. Written Cancellation Requirement
All cancellation and postponement requests must be submitted in writing through an officially recognized communication channel of the tour operator.
A verbal request, telephone conversation, social-media message, or communication with a third party shall not be considered a valid cancellation unless it is subsequently acknowledged in writing by the tour operator.
The effective cancellation date shall be the date on which the tour operator receives and formally acknowledges the written cancellation request.
13. Booking Confirmation and Acceptance
A booking shall be considered confirmed only after the required payment has been received and the tour operator has issued confirmation.
Payment of any booking amount or deposit constitutes acceptance of this Policy.
The customer acknowledges that they have had the opportunity to read and understand these terms before confirming their booking and agrees that the cancellation and refund provisions are binding and enforceable to the fullest extent permitted by applicable law.
14. No Exceptions Unless Agreed in Writing
No employee, guide, representative, agent, booking partner, or other person is authorized to verbally waive, alter, or override this Policy unless such amendment is expressly approved in writing by an authorized representative of the tour operator.
Any special arrangement, waiver, credit, refund, postponement, or exception must be confirmed in writing.
15. Customer Responsibility
Customers are solely responsible for ensuring that they have:
- Valid passports and required travel documents
- Required visas and permits
- Appropriate travel insurance
- Valid driving licences where applicable
- Necessary medical and personal documentation
- Sufficient time to reach the designated departure point
- Compliance with all applicable tour requirements
Failure to meet any of the above requirements shall not automatically entitle the customer to a refund.
16. Final Acknowledgement
BY CONFIRMING A TOUR BOOKING OR MAKING ANY PAYMENT, THE CUSTOMER EXPRESSLY ACKNOWLEDGES, CONFIRMS, AND AGREES THAT THEY HAVE READ, UNDERSTOOD, AND ACCEPTED THIS TOUR BOOKING, CANCELLATION, POSTPONEMENT & REFUND POLICY IN FULL.
THE CUSTOMER FURTHER ACKNOWLEDGES THAT CANCELLATION CHARGES MAY APPLY EVEN WHERE THE CUSTOMER IS UNABLE OR UNWILLING TO TRAVEL FOR PERSONAL, FINANCIAL, MEDICAL, VISA, FLIGHT, WEATHER, OR OTHER REASONS.
ONCE A BOOKING IS CONFIRMED, THIS POLICY SHALL BE BINDING UPON THE CUSTOMER.
NO VERBAL REPRESENTATION OR ASSURANCE SHALL OVERRIDE THESE TERMS UNLESS EXPRESSLY CONFIRMED IN WRITING BY THE TOUR OPERATOR.

IMPORTANT: This Policy is binding upon confirmation of the booking and/or receipt of payment and shall be governed by applicable laws and regulations. By making payment, the customer confirms full acceptance of these terms.
